The posts on conferences contain excellent suggestions. Some other points to
consider when planning a conference: keep school holidays in mind for women
with children; plan start and end times so that participants do not have to
drive during heaviest traffic; keep conference speakers on schedule; have
speakers send info ahead of time so that packets may be put together rather
than having many handouts during the conference; have comfortable chairs;
provide extra pencils; provide extra paper for notes; tables make it easier to
take notes and look through papers; have room size match the group size; check
room temp periodically to keep it comfortable. It's a big job, but very
rewarding. Good luck!
