ISEN-ASTC-L is a service of the Association of Science-Technology Centers
Incorporated, a worldwide network of science museums and related institutions.

In a previous workplace, the Operations/Finance Director arranged to have
the vehicles serviced (at an outside company).  This position also handled
the insurance, licensing, etc.  A museum credit card was used to fill the
tank when needed by whichever staff member had the vehicle when it needed
filling. Washing the van was the responsibility of the user (who could claim
the expense back to the museum), but of course the van was dirty most of the
time.  All mileage was recorded on a sheet/clipboard kept in the vehicle, so
each department that used the van paid the mileage/maintenance fee out of
their departmental budget.

My present employer uses 6 vans, driven by different people. The Director of
Finance/Operations handles the insurance and licensing.  Service (at an
outside dealership) is coordinated by the manager whose dept. uses them the
most.  Car wash coupons are provided to the drivers.  Filling the tank is
the responsibility of the person driving the vehicle, and must ensure it is
filled after they have finished using it (these expenses are charged to the
organization) and charged on a pro-rated basis to the departments using the
vehicles.

One other van that is primarily used by one person has its service
appointments set up by that person, and gas fillings done by that person.
The Director of Finance still handles the insurance, licence, etc.

Our museum currently has one vehicle used primarily by the Education=20
Department for transporting educators and program materials to outreach=20
programs.  If your organization has an outreach vehicle, who is=20
responsible for managing it (e.g. oil change, regular maintenance, wash,

etc.)?  Facility staff? Department staff?  Outsourced? Other?
